Return & Refund Policy
At Ocean Mantra Village, we are committed to providing a high-quality and meaningful retreat experience. Due to the nature of our services, limited availability, and advance planning required for each booking, the following Return & Refund Policy applies.
Booking Confirmation
A booking is confirmed only upon receipt of the required 20% deposit. Until the deposit is received, the reservation is not guaranteed and the requested dates may remain available to other guests.
Deposit
A 20% deposit is generally required to secure a booking. This deposit is non-refundable.
For certain bookings — including but not limited to peak season stays, group bookings, private buyouts, exclusive-use bookings, long stays, special promotional rates, or other categories designated by Ocean Mantra Village — different payment terms may apply, including a higher deposit, earlier payment deadlines, partial prepayment, or full prepayment before arrival.
Cancellation by Participant
For standard bookings, the 20% deposit remains non-refundable in the event of cancellation.
As the remaining 80% balance is generally due upon check-in, no further amount is usually payable in the event of cancellation before arrival, unless different payment terms apply to the booking.
For bookings subject to special payment terms, any amount paid may be partially or fully non-refundable, including amounts exceeding 20% of the booking value, in the event of cancellation.
No-Show Policy
Failure to attend on the scheduled arrival date without prior written notice will be treated as a no-show.
For standard bookings, any amounts paid, including the 20% deposit, will be forfeited.
For bookings subject to special payment terms, all amounts paid, including any prepayment above 20% and up to 100% of the booking value, may be forfeited in the event of no-show.
Transfer of Booking
A booking may be transferred to another person upon written request and prior approval, provided that:
- the request is received at least 7 days before the retreat start date;
- the replacement guest accepts all applicable terms and conditions; and
- all necessary administrative details are completed in time.
Ocean Mantra Village reserves the right to refuse a transfer where it is not reasonably possible to accommodate the change.
Cancellation by Organizer
If the retreat is canceled by Ocean Mantra Village, participants will be offered either:
- a full refund of all amounts paid to us; or
- the option to transfer the booking to a future retreat or stay, subject to availability.
Ocean Mantra Village is not responsible for additional costs or losses incurred by the participant, including but not limited to flights, visas, insurance, transport, foreign exchange losses, or other third-party expenses.
Early Departure
No refunds, credits, or discounts will be provided for unused accommodation, meals, activities, or other services if a participant arrives late, leaves early, or chooses not to use part of the retreat package.
Force Majeure
If the retreat cannot take place, or is materially affected, due to events beyond our reasonable control — including natural disasters, extreme weather, pandemics, government actions, travel restrictions, civil unrest, strikes, infrastructure failure, or other force majeure events — Ocean Mantra Village will act reasonably and in good faith to determine an appropriate solution.
Depending on the circumstances, this may include:
- rescheduling the booking;
- offering a credit toward a future stay or retreat;
- transferring the booking to new dates; or
- issuing a refund, in full or in part, where appropriate.
Any such decision may take into account non-recoverable costs already incurred.
Travel Insurance
We strongly recommend that all participants purchase comprehensive travel insurance covering, where possible:
- trip cancellation;
- medical emergencies;
- personal injury;
- travel delays;
- lost or damaged baggage;
- emergency evacuation; and
- personal belongings.
Ocean Mantra Village is not responsible for losses, costs, or expenses that could have been covered by appropriate insurance.
Refund Processing
Where a refund is expressly due under this Policy or these Terms, approved refunds will be processed within 14 to 30 business days, subject to banking procedures, payment provider processing times, and any required administrative verification.
